Terms of Service

1. Agreement
By creating an account or using PharmaCom ("the Service"), you agree to these Terms of Service ("Terms"). The Service is operated by Zelos IT Solutions ("we", "us", "our"). If you do not agree, do not use the Service.
2. Description of Service
PharmaCom is a compliance management tool that helps independent pharmacies track regulatory deadlines and compliance obligations — including DEA registrations, state pharmacy permits, staff license renewals, annual training requirements, medication expiration checks, cold chain refrigeration checks, and business insurance renewals — and receive automated reminders via WhatsApp and email. The Service also includes a Compliance Analytics Dashboard showing your compliance health score and 12-month deadline history, and the ability to export a branded PDF compliance report.
Important disclaimer: PharmaCom is a deadline tracking and reminder tool. It does not constitute legal, regulatory, or compliance advice. You are solely responsible for verifying your compliance obligations with the appropriate regulatory bodies. Always consult your state board of pharmacy for authoritative compliance requirements.
3. Account Registration
- You must provide accurate, current, and complete information when creating an account.
- You are responsible for maintaining the security of your account credentials.
- You must notify us immediately of any unauthorized access to your account.
- One account may manage one pharmacy per subscription. Additional pharmacies require separate subscriptions.
4. Free Trial
- New accounts receive a 30-day free trial. No credit card is required to start.
- During the trial period, the Compliance Analytics Dashboard and PDF export are each available for one free use per account. After each feature's free use is consumed, an active subscription is required to access it again.
- At the end of the trial period, access is paused until a subscription is activated.
- Your data is preserved for 30 days after trial expiry before deletion.
5. Subscriptions and Billing
- Monthly plan: $20.00/month per pharmacy location, billed monthly.
- Annual plan: $200.00/year per pharmacy location, billed annually (equivalent to $16.67/month).
- Subscriptions renew automatically at the end of each billing period unless cancelled.
- Payments are processed securely by Stripe. We do not store payment card details.
- Prices may change with 30 days' advance notice to active subscribers.
6. Cancellation and Refunds
- You may cancel your subscription at any time through the billing portal in your account settings.
- Cancellation takes effect at the end of the current billing period — you retain access until then.
- We offer a full refund within 7 days of your first paid charge if you are unsatisfied. Contact us at [email protected].
- Refunds are not issued for partial billing periods beyond the 7-day window.
7. Acceptable Use
You agree not to:
- Use the Service to store patient data, prescriptions, or any Protected Health Information (PHI).
- Attempt to gain unauthorized access to any part of the Service or its infrastructure.
- Use the Service for any unlawful purpose or in violation of any applicable regulations.
- Resell, sublicense, or provide access to the Service to third parties without written permission.
8. AI Assistant
The AI Compliance Assistant is provided for informational and organizational purposes only. Responses are generated by an AI model and may contain errors or outdated information. Do not rely on AI responses as legal or regulatory advice. Always verify compliance requirements with your state board of pharmacy or a licensed compliance professional.
9. Data Ownership
You own your data. By using the Service you grant us a limited license to store and process your data solely for the purpose of providing the Service. We will never sell your data or use it for purposes unrelated to the Service. Upon account deletion, your data is permanently removed from our systems within 30 days.
10. Service Availability
We aim for high availability but do not guarantee uninterrupted access to the Service. Scheduled maintenance will be communicated in advance where possible. We are not liable for losses resulting from service downtime.
11. Limitation of Liability
To the fullest extent permitted by law, Zelos IT Solutions shall not be liable for any indirect, incidental, special, or consequential damages, including but not limited to regulatory fines, compliance failures, or loss of business arising from your use of the Service. Our total liability to you for any claim arising from your use of the Service shall not exceed the amount you paid us in the 3 months preceding the claim.
12. Governing Law
These Terms are governed by the laws of the State of Texas, United States. Any disputes shall be resolved in the courts of Dallas County, Texas.
13. Changes to These Terms
We may update these Terms from time to time. We will notify you by email at least 14 days before any material changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
